For sole practitioners, small practices and bookkeepers across West Yorkshire and the UK. Built around Google Workspace or Microsoft 365, Xero or QuickBooks, and email. See every workflow.
Why now
Sole traders and landlords move from one annual return to quarterly updates. Every quarter is another round of records to collect, check and chase.

Today’s automations
This board shows a typical morning run at a small practice. Each row is a job someone in the office used to do by hand.
The gold box is the important part: messages to your clients wait for your approval and go out once.

Included with every workflow
Example workflow
Every workflow we build follows the same five steps. Below, our document collection runs on a dummy client so you can see what happens and where you stay in charge.
A two-minute recording with narration. The practice, client, files and emails are all made up.
Every workflow follows these five steps, so it behaves the way your team expects.
| Step | Document collection (the video) | Client onboarding | MTD quarterly update | Fee chasing |
|---|---|---|---|---|
| Trigger | Client uploads a file | New client is added | Quarter end is two weeks away | Your invoice passes its due date |
| Check | Right document, right period? | Form, ID and letter received? | Have the records come in? | Has the payment arrived? |
| AI reads | Reads the dates on the statement | Reads names and addresses from the ID | Reads the uploaded receipts and statements | Matches the bank reference |
| You approve | Reminder to the client | Engagement letter to send | Records reminder | Fee reminder |
| Done | Filed and ticked off | Client ready to start | Quarter ready to submit | Invoice marked paid |

How we work
A free 20-minute call. You tell us which client chase wastes the most time.
We map your services, checklists and deadlines, and agree exactly what is automated and what stays with you.
We build it in your own accounts and test it on dummy clients before any real client data goes in.
We switch it on with a first group of your clients and check every item closely for the first month.
We host it, monitor it and fix it. Your team gets on with the client work.
Your first month
We go live together on day one. For the next four weeks we check what the workflows do every day and tune the wording and checklists with you. In the last two days we review the results together: time saved, items collected and anything flagged.
How we keep you in control
Automations run inside your own Google, Microsoft or other accounts. Your data stays with you.
Anything sent to your clients can wait for your yes before it’s sent.
When something doesn’t fit the rules, it comes to you to check instead of being processed anyway.
Each practice gets its own workflows, with its own database and keys.
Signed before any personal data goes in, under UK GDPR.
Who you’ll work with
I’m a business analyst and AI automation specialist. I build practical workflows for accounting and bookkeeping practices, set them up in the tools you already use, and look after them so you don’t have to.
You deal with me directly, from the first call to day-to-day support.

Questions
Yes. Workflows can read from and write to Xero or QuickBooks, for example creating draft bills from receipts or checking whether a fee has been paid. Document collection runs in Google Drive or Microsoft OneDrive, so it works whatever accounts software you use.
No. Clients get an email with a private upload link. They need a browser and nothing else: no app, no portal password.
Only if you want it to. By default every reminder is drafted and waits for your approval, and each one is sent once to the email on the client record.
Client files stay in your own Google or Microsoft account. Each practice’s workflows run separately, over encrypted connections, and we sign a UK GDPR data processing agreement before any client data goes in.
No. It collects the ID and proof of address for you and records what has been received. The checks and the risk assessment stay with your practice and your AML provider.
Document collection takes about a week. Each add-on workflow usually takes one to two weeks, depending on your services and software.
We monitor every workflow. If something fails we’re alerted straight away and fix it, and anything unclear is flagged to you rather than guessed.
One standard fee for every plan, currently £295 instead of £590. It covers a session to map your services and checklists, building and testing your workflows on dummy clients, connecting your accounts, training your team, and close checking during your first month.
Send a short email about your practice and the job you’d like to hand over. We’ll book a free 20-minute call to see if automation is a fit.
Your messages go to our AI assistant. If you share your name, mobile or email, we keep them only to follow up or arrange your call.
